Documentary Management Problems and their Solution

Abstract
Documentary work is generally deal with the management of various activities which it involves think, read, draft, write, type, memorize, copy, send, or communicate with words, write memorandum and minute, record, summary, paraphrase, submit, give instruction, reply, make code, keep things in place, search, follow up and destroy. All of these tasks need to be done under a good supervision system, and this also includes knowing in using electronic devices or systems in sending or receiving texts and messages. In addition, document paper work relate with plenty of rule and regulations. For example, (a) Rules regarding the Office of Prime Minister in which relating to document paper work, (b) National Security that indicates the secret of each individual document and (c) official Information which engages official information secret keeping. Most of these rules and regulations have to be implemented in all government sectors. The common problems occur in running document paper work are sending, receiving, keeping and destroying documents. On top of that inappropriate and lost of documents always happen. More interesting outcome was that there are some difficulties to search needed documents in document paper work storage system. As a result of keeping unwanted documents and they have not been destroyed led to possess bundles of useless documents. In short, to solve these dilemmas might need to re-construct working system in document paper work by divide documents into different sections such as having coming and outing documents system, keeping destroying documents system as well. Each staff should has opportunity to attend seminars related to documentary work which would build work important awareness in every individual staff. They should assemble a first-class teamwork within organization together with having a high quality in analyzing tasks assigned as well as knowing and capable in using technology and auto office. Most important, the administrator should have a good sense of supporting and encouraging the staff in order to reach excellent jobs and fruitful outcomes.
