An Application of Lean Concept to Improve Cooperative Education Management Processes, The University's Case of the Management Faculty

Abstract
This research focused on the study of a cooperative education management process. The objectives were to study and analyze waste that occurred in the cooperative education process of the faculty of management and to propose guidelines to improve and develop the process using the Lean concepts. The research utilized an operation research approach. Twenty key informants, including students, instructors, staff, and workplace representatives, were considered using purposive sampling. An observation form, a semi-structured interview record, process activity mapping (PAM), and value stream mapping (VSM) were utilized as research instruments. The data was obtained from documents and non-participant observation, in which each step of the process was timed 30 times. Then, the key informants were interviewed to ensure a thorough understanding of the process by presenting PAM information to show the steps of the process and create the VSM, which indicates the current process overall. The key informants reviewed all information again for accuracy. After that, a focus group discussion was applied with the key informants using the 5W1H technique to brainstorm and reach a consensus on problem-solving strategies, followed by the ECRS principles (Eliminate, Combine, Rearrange, Simplify) to improve the process. The findings show that the steps are reduced from 90 to 89 steps, representing a reduction of 1.11%. The total time required decreased from 246,876.55 minutes (4,114.61 hours) to 135,370.97 minutes (2,256.18 hours), representing a decrease of 45.17%. The study indicated that the Lean concepts could reduce steps and time consumed in the cooperative education management process. The researcher recommends that the relevant units within the faculty of management prioritize minimizing the waste in the process. For example, coordinating cooperative education schedules with workplaces. This would contribute to the overall effectiveness of the cooperative education management in the future.
